Using Casedo with Google Drive (Teams)

In Google Drive, you can choose between two products. Teams and individuals. When choosing Team Drive you allow your colleges or whoever you like to view your files and folders, including your Casedo casefile. Shared Drive is a shared space that allows teams to store, search, and access files anywhere from any device. Unlike My Drive, Shared Drive belongs to an entire Team instead of one individual.


With Google Drive, you can choose how you want to sync your files into your computer. There are 2 types of sync solutions:


1. Drive File Stream:

This application lets you stream My Drive and shared drive files directly from the cloud. Meaning your files will be stored in the cloud.


2. Backup and Sync:

Backup and Sync stores all or selected Drive content locally. Meaning it will locally be stored in your devices.



With Google Team Drives, because it requires accessing files in shared devices, your files will only be synched with Drive File Stream. Meaning it will only be stored in the cloud.




Here are some best practice tips for making Casedo fit seamlessly into your Google Drive workflow.


In summary, there are three aspects to getting this right

  • Avoid conflicts
  • Get your settings right
  • Make sure that files have synced with Google Drive before opening them elsewhere



Avoid conflicts


Like traditional Microsoft Office and Apple Office products (Word, Pages, Excel, Numbers and so on), Casedo can only be used by a single user at a time, and conflicts are created if two users try to open the files together. This is particularly easy to do using the above cloud storage solutions so it is important to make sure that Casedo is only opened by a single user at any one time.


However, if this does happen, there shouldn’t be any data loss. As with the other document formats mentioned above, Casedo will create a second renamed ‘conflicted’ copy.

Get your settings right


Casedo .case files can be big. It’s easy to find yourself working with a 2,000-page Casedo file that is around 150mb in size. Even with a great internet connection, this can take a while to upload. Understanding how Google Drive works and adjusting the settings accordingly will help you avoid any odd behaviour that Casedo might exhibit as it tries to keep up with the uploading process.


Firstly, how does Google Team Drive work?


Google Drive is a storage service that lets you save various files to the cloud and then access them from your smartphone, tablet, or computer. With Drive File Stream, you stream your Drive files directly from the cloud to your Mac or PC, freeing up disk space and network bandwidth. Because Drive files are stored in the cloud, any changes you or your collaborators make are automatically updated everywhere. So, when you add a file to the Google Drive folder, it will be uploaded to your Web drive (as long as you’re connected to the Internet.). It also lets you mark a file or folder for sharing and then invite people to view or download it, and will make sure your files are safe if your PC stops working.


Starting at 100 GB. All Google Accounts include 15 GB of storage free of charge. The following is taken from the google one website (the full article can be found HERE). These prices vary whether you would rather use Google Drive as a shared drive  (Teams) or for your own use (Individually).



Shared Drives are only available with paid G Suite Business, Enterprise, or Education editions of G Suite. So the price depends on the option.


Make sure that files have synced with Google Drive before opening them elsewhere


With My Drive, you should choose to store your files offline. When storing large Casedo files online it will affect the performance,  to avoid this set up your Casedo files offline and keep them locally.


To do this, you should simply:

1. Right-click the Google Docs, Sheets, or Slides file you want to save offline.

2. Turn on “Available offline.”


It’s documented that OneDrive can have trouble syncing large files and gets stuck processing them, so it’s always worth checking that your .case files have synced fully when you exit Casedo. When Google Drive is not syncing on Android app, keeping this app up-to-date is very important since updates sometimes can fix bugs. Doing this will mean that when opening the .case file on another computer, you can be confident that it is the most up to date version.
